This notice explains how Miko ("we", "us") handles personal information when you use this website, take part in our research, or receive an outreach message from us. If anything here is unclear, email [email protected].
Who we are
Miko researches operational problems and builds practical software and AI tools for businesses and organisations. Miko is run by Kieran Marr. For our research and outreach, Miko is the data controller. Where we run a service on behalf of a client business, that client is the controller for their own customers' data and we act as their processor under a separate agreement.
Research
We ask businesses, clubs, charities and public organisations about how particular everyday processes work for them. This is market research: we are looking at how a job is done across many organisations rather than assessing any one of them. Taking part is voluntary.
- What we collect: your name, your organisation, your role, your contact details, and your answers.
- Why: to understand how a piece of work is done in practice, across several organisations, so we can judge whether it is worth building software for.
- Recording: research is normally done in writing. If a research conversation ever happens by phone or video, we will not record it unless we ask you first and you agree.
- Future trials: we may ask whether you would be interested in taking part in a trial of something we build later, and record your answer so that we only approach people who said yes.
- Attribution: we do not name you or your organisation, quote you, or publish anything you tell us as a case study or testimonial, unless we ask you separately and you say yes.
Our lawful basis is legitimate interests: understanding real operational problems in order to develop useful software. You can object at any time, and we will stop.
Outreach messages
If we contacted you by email or message, it is a business-to-business approach based on legitimate interests. We contact organisations, at work addresses, about research relevant to what they do. Where we hold your business contact details, we obtained them from publicly available sources such as your organisation's own website or a published business directory. Every message includes a way to opt out, and we stop on request. To opt out at any time, reply to the message or email [email protected] asking us to stop. We keep a record of your address on a suppression list so that we do not contact you again by mistake.
This website
We collect basic request data, such as your IP address, through our hosting provider, used only to keep the site available and prevent abuse. This site sets no advertising or tracking cookies, and we run no analytics.
If you speak to our voice assistant
Miko has built a voice assistant that can answer telephone calls and hold a spoken conversation. If you reach it, you are told at the start that you are speaking to a virtual assistant and not a person. Those calls are recorded and transcribed so that we can prepare a written summary and improve the system. You can ask us to delete a recording and its transcript at any time.
Who we share it with
We use a small number of trusted providers to run the business, for example our email provider, our hosting and infrastructure providers, and, where a voice call is involved, our voice and AI platform. They process the data on our instructions only. We do not sell your data and we do not share it with anyone for their own marketing.
How long we keep it
We keep research answers and notes for up to 24 months and then delete them, unless you ask us to delete them sooner. Call recordings and transcripts are kept for up to 12 months. Suppression list entries are kept indefinitely, because their whole purpose is to stop us contacting you again.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, or stop using it. Email [email protected] and we will respond. You can also complain to the UK Information Commissioner's Office (ico.org.uk).
